Terms of Service

1. Who these terms apply to

These terms apply to anyone who uses the RoamRani website (roamrani.com) or books a journey with us. RoamRani is a brand of Taj Travel Services, a government-registered tour operator based in New Delhi, India.

By using our website or confirming a booking, you agree to these terms. If you don't agree, please don't book — and do contact us if you have questions before you do.

2. How bookings work

Making a booking

A booking is confirmed when:

1. You receive a written confirmation email from RoamRani, and
2. You pay the required deposit (see section 3)

Until both conditions are met, no booking exists. An enquiry or itinerary proposal does not constitute a confirmed booking.

Accurate information

You are responsible for providing accurate information — name (as it appears on your passport), travel dates, dietary requirements, medical conditions relevant to your travel, and emergency contacts. Errors in the information you provide may affect your journey and are your responsibility to correct promptly.

Booking on behalf of others

If you are booking for a group, you are responsible for ensuring all group members have read and agreed to these terms. You become the lead contact for the booking and are responsible for all payments.

3. Payments

Deposit

A deposit of 30% of the total trip cost is required to confirm your booking. We will hold provisional arrangements for 5 working days after sending your confirmation; if the deposit is not received within that window, the booking lapses.

Balance payment

The remaining balance is due 60 days before your departure date. For bookings made within 60 days of departure, the full amount is due at the time of booking.

Payment methods

We accept bank transfer and major credit/debit cards. Payment details are provided in your booking confirmation. All prices are quoted in USD unless otherwise agreed.

Price changes

Once your booking is confirmed and deposit paid, your price is locked. We will not increase it. The only exception is a government-imposed tax or levy introduced after your booking date — in which case we will notify you immediately and give you the option to cancel with a full refund.

4. What's included in your journey

Your booking confirmation sets out exactly what is included. As a general guide, our journeys typically include:

• Day-by-day itinerary with accommodation, transport, and guide arrangements
• Private police-verified transport for all transfers listed in the itinerary
• Accommodation as specified (heritage property, boutique guesthouse, or eco-stay)
• Expert local guide for all guided days specified
• 24/7 RoamRani WhatsApp support throughout your trip
• Pre-trip briefing document (on confirmed bookings)

The following are not included unless explicitly stated in your confirmation:

• International flights
• Travel insurance (required — see section 7)
• India visa fees
• Personal spending, tips, and optional activities not listed in the itinerary
• Meals not specified in the itinerary

5. Changes to your booking

Changes you request

We will accommodate reasonable changes where possible — shifting dates, swapping a destination, adjusting accommodation. Changes requested more than 60 days before departure are usually made without a fee. Changes within 60 days may incur supplier costs, which we will communicate before making any change.

Changes we make

We reserve the right to make necessary changes to your itinerary — for example, if a property becomes unavailable or a route becomes unsafe. We will notify you immediately, explain the reason, and provide a suitable alternative. If the alternative is materially worse and you are not satisfied, you may cancel and receive a full refund of the affected portion.

6. Cancellations

For full cancellation terms, see our Cancellation Policy. In summary:

• 60+ days before departure: Full refund of all payments made
• 30–59 days before departure: 50% refund
• Under 30 days before departure: No refund (credit toward a future trip available)

Force majeure situations (serious illness, government travel warnings, natural disasters) are handled individually and fairly — we don't hide behind small print in genuine emergencies.

7. Travel insurance

Comprehensive travel insurance — including medical cover and emergency evacuation — is required for all RoamRani journeys. This is non-negotiable.

You must provide proof of cover before your departure. If you travel without adequate insurance and require medical assistance, evacuation, or repatriation, the costs are entirely your responsibility.

8. Your responsibilities as a traveller

• Hold a valid passport with at least 6 months' validity beyond your return date
• Obtain any required visas before travel (we will advise, but obtaining them is your responsibility)
• Follow the advice and guidance of your RoamRani guide, especially in matters of safety
• Respect local laws, customs, and cultural norms — your briefing document covers what you need to know
• Maintain the daily check-in protocol agreed with our team
• Behave in a way that does not put yourself, your guide, or other travellers at risk

We reserve the right to end a trip early if a traveller's behaviour creates serious risk or harm. In such cases, no refund is provided.

9. Our responsibilities to you

We are responsible for:

• Delivering the services described in your confirmed booking
• Exercising reasonable care in selecting and supervising guides, drivers, and accommodation
• Responding promptly to safety concerns and emergencies during your trip
• Being honest with you — about what is included, what isn't, and what we think is realistic

We are not liable for:

• Events outside our reasonable control (extreme weather, civil unrest, natural disasters, government action)
• Third-party failures that could not reasonably be foreseen or prevented
• Losses arising from inaccurate information you provided at booking
• Personal items lost, stolen, or damaged during your trip

10. If something goes wrong

If something goes wrong during your trip, tell your guide or contact us on WhatsApp immediately. Most problems are best solved on the ground, in real time — not in a complaint letter six weeks later.

If you remain unsatisfied after your trip, send a written complaint to hello@roamrani.com within 28 days of returning. We take every complaint seriously and respond within 14 days.

11. Governing law

These terms are governed by the laws of India. Any dispute that cannot be resolved by direct communication will be subject to the jurisdiction of the courts of New Delhi, India.

12. Questions

Any questions about these terms — email hello@roamrani.com. We answer every message personally.
